Job Description

A Payroll Coordinator is responsible for managing and overseeing the payroll process for an organization, ensuring employees are paid accurately and on time. This role typically involves the following duties:

Key Responsibilities:
Payroll Processing: Oversee the preparation and processing of payroll for all employees, ensuring accuracy and compliance with company policies and regulations.

Data Entry: Enter employee work hours, overtime, bonuses, commissions, and deductions into the payroll system.

Timekeeping Management: Ensure accurate timekeeping records are maintained, including tracking employee attendance, vacation, sick leave, and other time-off requests.

Tax Compliance: Ensure payroll tax deductions (federal, state, local) are calculated correctly and withheld from employee paychecks. Ensure compliance with tax regulations and timely filing of payroll taxes.

Benefits Administration: Administer employee benefits such as health insurance, retirement plans, and other deductions, ensuring proper enrollment and deductions.

Payroll Reporting: Generate payroll reports, including earnings, deductions, and taxes, for management and auditing purposes. Provide reports to HR and finance departments as needed.

Employee Inquiries: Address payroll-related questions and issues from employees, resolving discrepancies, answering queries regarding pay, deductions, and tax forms.

Compliance & Recordkeeping: Ensure all payroll records are maintained in compliance with applicable laws and regulations. Stay up-to-date on federal, state, and local payroll laws and changes.

Year-End Processing: Assist in the preparation and distribution of year-end tax documents such as W-2s and 1099 forms. Help with the annual payroll audit process.

Coordination with Other Departments: Work closely with HR and accounting departments to ensure accurate payroll data and to resolve any discrepancies.

Required Skills:
Attention to Detail: Ability to process complex payroll information accurately.
Confidentiality: Maintaining confidentiality regarding sensitive payroll data.
Technical Proficiency: Experience with payroll software (e.g., ADP, Paychex, QuickBooks) and Microsoft Excel.
Knowledge of Payroll Laws: Familiarity with federal and state payroll tax laws, wage and hour laws, and other regulations.
Problem-Solving: Ability to identify and resolve payroll issues efficiently.
Communication Skills: Strong communication skills to address employee concerns and collaborate with other departments.
Education & Experience:
Education: Typically requires a high school diploma or equivalent; an associate’s degree in accounting, finance, or business administration is often preferred.
Experience: Prior experience in payroll processing, accounting, or human resources is often required, typically 2-5 years.
